GENERAL DATA PROTECTION REGULATION

With effect from 25th May 2018

It is the policy of Family Roots FHS for Eastbourne & District ‘the Society’ to undertake electronic processing and storage of member’s personal data as listed below, for the purpose of administration and operation of the Society.

Member’s name & email address (if provided)

Membership fee & date payment passed to Treasurer

Membership number & category

Member’s address & telephone number (if provided)

Method of payment

The Society may also with a member’s prior approval and in accordance with its stated intent of promoting members’ research, disclose to other members of the Society any genealogical information which may be submitted to the Society by a member in furtherance of their research.

The Society may also, with a member’s prior approval, publish such information on its website or within its magazine.

A member’s consent is required for the Society to hold, store and use a member’s personal data as detailed above.

Privacy Statement:

The society uses Planahead to print the magazineother than this will not pass on your information to any other third party. Planahead has declared itself to be compliant with the terms of the Regulation.

Security:

We are committed to ensuring that members’ information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect from members

If a member leaves the society their details will be held for 1 year after which time their details will be securely deleted from our computer system.

Members’ Rights:

Members have the right to see what data we hold on them, to amend the information and to request deletion of their details. Please contact the Society’s Secretary at 8 Park Lane, Eastbourne BN21 2UT. Should a member wish their details to be removed, the society will no longer be able to fulfil its obligations to them as a member.

Members’ Interests:

If a member has supplied information for this facility, their membership number and their research details will be published once in our magazine and, will appear on the society website. Anyone interested in a member’s research will have to contact the Membership Secretary with his or her contact details who will then contact the member concerned. It will be up to the member whether to proceed or not.
